Retention of D2L For-Credit Courses and Materials

Question: How long will my course remain in D2L after it is offered?

Answer: For-Credit courses and their content, specifically those offered by the Registrar’s Office as part of a degree program, will be retained on D2L servers for four years following the completion of the course. This four year period will follow the course's schedule as outlined in the MSU Class Search tool. After this four-year period, the course will be removed from the system.

Course Administrators and Course Editors with courses scheduled for removal will receive advance notice via email from MSU IT Comms, providing them with an opportunity to save any important materials.

During the four-year period, access to materials will be managed by the course instructor. However, access to specific copyrighted materials may cease before the end of the four-year timeframe, depending on the nature of the content.

Retention of D2L Materials for other Course Types

Question: How long will my other Enrichment* course offerings remain in D2L?

*This includes development, community, non-credit, and professional development offerings.

Answer: Administrators of an enrichment offering bear full responsibility for the content, upkeep, and archiving of materials they wish to retain. MSU IT does not have any plans to remove enrichment courses during its annual purge process. Instead, instructors are encouraged to delete any enrichment courses that are no longer needed.

Special note regarding D2L Enrichment Offerings:

Units often conduct university business using D2L Communities, Non-Credit, and Professional Development course offering spaces (e.g., Search Committees) and in the process may create university business records (archives.msu.edu/records). These business records may have specific retention schedules in compliance with laws and regulations or may have historical value to MSU. Contact the University Archives & Historical Collections staff at archives@msu.edu or (517) 355-2330 for questions and assistance.
